Frequently asked questions — exhibitors
The most common questions about participation, costs, set-up and promotion. If you can't find the answer, write to us.
You fill in the form on the Exhibitors page or write to us directly. The sales team sends you an offer with the available areas, location and price per square metre.
Once you choose an option, you receive the contract and the hall plan. The booking becomes firm when the contract is signed and the advance payment is made.
The price is calculated per square metre and differs from one fair to another, depending on the area, location and type of participation chosen.
Renting empty space costs less than a stand built by ROMEXPO, which includes the fit-out. Request an offer for exact figures — we do not publish general rates, because they vary from edition to edition.
Depending on the package: walls, carpet, lighting, a power socket, the company name sign and basic furniture. The exact details are in each fair's offer.
Set-up usually starts two days before opening, and dismantling takes place on the evening of the last day and on the following day. You receive the exact schedule in the exhibitor manual, a few weeks before the event.
Yes. You rent the empty space and come with your own design. The design must be approved in advance, to comply with safety regulations and the maximum height allowed in the pavilion.
Your presence is part of the event's communication: website, newsletters, social media and editorial content for the fair's community.
If you are launching a product or have a live demonstration, tell us in good time — we will include it in the pre-event communication and in the fair's programme.
At B2B and B2G events, the ROMEXPO app lets you scan badges. Contacts are centralised automatically and can be exported, so your sales team can follow up straight after the fair.
Cancellation conditions and refund deadlines are set out in the contract and differ depending on how close to the event the cancellation is made.
